Global mailshots
allow you to produce letters for many contacts in one go.
You can create contacts to make sure you have the correct addressee
names
for mailshots. Customers and Prospects to be included in a mailshot can be
selected based on Customer Type, Market Class or Mailshot
Category.
2. To generate the Global Mailshot, select Gx CRM from the toolbar.
3. From the menu, click Send a Global Mailshot.
4. Firstly select whether the mailshot should include Customers, Prospects
or Both.
5. If this mailshot is only for a specific groups of customers, click the radio
button for Customer Type, Market Class or Mailshot Category in the Select By options. See: Create Customer Type Codes, Create Market
Class Codes and Create Mailshot Category Codes. Note: you can only
select by one field. Then select the required groups from the list provided
against the chosen field, and click the Add button to add this group to the
selection criteria. If you want to include everyone, click the All Customer
radio button.
6. Choose Your Position from the drop-down menu. Click here for
instructions on creating new positions.
7. Enter you name as you wish it to appear on letters in the Letter Signatory
field.
8. Next click the line below Contact Category and select the required
category from the drop-down menu. This ensures that the mailshot is
addressed to the correct contact person if the customer has
multiple contacts
set up.
If two contact names are set up with this contact code, the system will produce a letter for each.
Further contact categories can be selected in the lines below so that if an account does not have a
contact person set up with the first contact category, it will use the contact name with the second contact category. If the account
has both contact codes set up, a letter will be produced for each contact.
There is a Contact Category titled All Categories so you can still use this program
even if you have not set up contact names and contact categories for your customers and prospects.
If you wish to only use the contacts that belong to all of the selected contact categories rather than any of them, tick the Contacts must have all categories box.
9. Select the letter you wish to send then click Select. This displays the
selected recipients for the mailshot at the bottom of the screen. The
number of recipients is also displayed at the bottom of the screen.
10. Click the Send button.
11. Choose the required Sent To option for the letters. It is often a good
idea to preview the document prior to printing.
12. Click the Ok button. Click here to view an example merged letter. The
merged data is highlighted in bold.
13. In Gx CRM\Contact Details, each account selected for the global
mailshot, will have automatically been updated with a comment detailing
the time, date and letter code generated, and the method of sending it, i.e.
post. Use the Previous Calls tab to view this information.
